Professional Services Firms

Websites, client portals, automation, data and IT services for law, accounting, consulting, real-estate and other professional-services firms.

Law, accounting, consulting, engineering, architecture, real-estate, staffing and agency firms sell expertise, and technology either saves their professionals’ time or wastes it. PS3G provides IT services for small business firms and for larger practices alike: a solo practitioner who needs a website and a secure way to exchange documents, a 40-person accounting firm automating client onboarding, or a regional law firm with several offices that needs a client portal and someone to run its IT. The engineering is the same; the engagement is scoped to the firm.

Professional Services Firms - PS3G

We build websites, portals and workflow tools, automate the repetitive steps, add AI where it holds up to confidentiality rules, and provide the managed IT and security that corporate clients now ask about.

What professional-services firms ask us for

  • A website that brings in the right clients: practice-area pages, professional profiles, resources and intake forms, built on WordPress or a custom stack and easy for staff to update.
  • A client portal: matter or engagement status, document exchange, invoices and payments, e-signature and secure messaging in one place.
  • Automation: intake, conflict checks, engagement letters, time capture, billing and reminders connected across the systems you already own.
  • Reporting: utilization, realization, work in progress and project profitability from practice management and accounting systems.
  • IT consulting for small business firms: cloud and Microsoft 365 configuration and security, a security policy set, backups for your cloud data and answers to client security questionnaires. We do not sell or support hardware.

Systems we commonly integrate

Microsoft 365 (SharePoint, Teams, Outlook), Google Workspace, practice management and time-and-billing systems, document management systems, QuickBooks and Xero, e-signature services, CRM (HubSpot, Dynamics 365), tax and audit software, MLS and IDX feeds for real-estate firms, applicant tracking systems for staffing firms, and payment processors.

Typical first projects

Organization A common first engagement What it usually becomes
Solo practitioner or small firm A website with intake forms and a secure document-exchange setup, or one automated workflow such as engagement letters A client portal and managed IT
Mid-size firm (20 to 100 people) Client portal development integrated with practice management and billing, or automated client onboarding across systems RPA for back-office steps, reporting, an AI acceptable-use policy and first AI tools
Multi-office or large firm Modernizing an internal application, a data warehouse across practice systems, or managed IT across offices A dedicated team inside your IT function

Client portals and document workflows

A client portal does for a firm what online banking did for banks: clients see status, download documents, approve and sign, and pay, without emailing a partner. We build portals on .NET or Node.js with a React front end, or on SharePoint and Power Apps for firms standardized on Microsoft 365, and connect them to practice management, document management and billing. Access is scoped per client and per matter, every action is logged, and documents stay in your document management system. Our web application development service builds the portal; our website development service builds the public site in front of it, with intake forms that feed the same workflow.

Document workflows follow the same pattern: an intake form or email starts a matter, templates generate the engagement letter or proposal, a reviewer approves, e-signature collects the signature, and the executed document files itself in the right folder with the right retention period. In client portal development we scope four things first: which clients and document types are in the first release, where documents live, how payments and trust funds are handled, and how clients get support when they cannot sign in.

Automation and AI with confidentiality in mind

Professional services automation starts with the steps that do not need judgment: moving data between intake, CRM, practice management and billing; chasing missing documents; matching receipts and invoices; onboarding a new client across five systems. RPA and AI automation handles these without replacing the systems. AI adds the next layer: summarizing long documents, drafting routine letters, answering questions from your own precedents through retrieval, and triaging intake requests.

Confidentiality decides how, not whether. Professional rules on competence and confidentiality, privilege, engagement terms and client expectations all apply to AI tools. We use enterprise services whose terms keep your data out of model training, keep retrieval scoped to the matters a user may already see, log every query, keep a professional responsible for every output, and put an AI acceptable-use policy in place before the first tool goes live. Our AI governance service produces the policy, inventory and risk assessment. We have run our own regulated software product, our HIPAA-compliant EHR and telehealth platform, DocVilla, for years, so handling confidential records is part of how we work.

IT services and security

Many firms want one accountable provider for the technology they do not have time to manage. Our managed professional services cover the cloud applications, websites, portals and Microsoft 365 environment your firm runs on: administration, patching, backups, email security and vendor management under defined SLAs (we do not manage laptops, printers or office networks), with our US team handling client-facing work and our India delivery center adding extended-hours support.

Security expectations now come from clients as much as regulators. Corporate clients send security questionnaires; cyber-insurance applications ask about MFA, backups and incident response; tax preparers fall under the FTC Safeguards Rule; firms serving healthcare clients may be business associates under HIPAA; real-estate transactions attract wire-fraud attempts. We put the controls in place (MFA, encryption, tested backups, email filtering, written policies, an incident response plan and staff training) and produce the evidence your partners need to answer questionnaires. Check the current official text of any rule that applies to your firm. This is general information, not legal advice.

How we work with firms

Fixed-scope projects for a website, portal or workflow, a dedicated team or staff augmentation for a larger program, managed services for IT under defined SLAs, or advisory for technology roadmaps and vendor selection. How we start: a first conversation, a short assessment and a written proposal.

Frequently asked questions

What IT services for small business firms do you provide?

Cloud application and Microsoft 365 administration, email security, backups, patching, security policies and questionnaire support under defined SLAs, plus the websites, portals and automation described on this page. Hardware, office networks and end-user device support are not part of what we offer. A small firm usually starts with a security review and one fixed-scope project, then moves to managed services.

How long does client portal development take?

It depends on how many document types, systems and client groups the first release covers, which is why we scope that first. A first release limited to a few document types and one practice system is a defined project with a timeline in the written proposal; older practice management systems add the most variability.

Can you integrate with our practice management and billing systems?

In most cases, yes. Current practice management, document management and accounting products expose APIs; older ones work through exports, database views or RPA. We confirm what your licenses allow, build against test accounts and document every interface so your staff know how the systems connect.

Is it safe for a law or accounting firm to use AI tools?

It can be, with the right setup: enterprise tools whose terms exclude your data from model training, access scoped to what each user may already see, logging, a professional responsible for every output, and a written acceptable-use policy your staff have been trained on. Your professional rules and client agreements set the limits; we implement the controls that respect them.

Can you help us answer client security questionnaires?

Yes. We review the questionnaire against your actual controls, close the gaps that matter (MFA, backups, encryption, policies, incident response), and produce the evidence and policy documents it asks for. Over time this becomes a standard package your partners can send out, which also makes cyber-insurance applications easier.
