Privacy Policy

How PS3G Inc. collects, uses, shares and protects personal information on ps3g.com and in client engagements. Cookies, GDPR and CCPA rights, HIPAA and contact details.

Email hello@ps3g.com

Effective date: October 27, 2026

This Privacy Policy explains how PS3G Inc. (“PS3G”, “we”, “us” or “our”), a Delaware corporation headquartered at 1201 N Market Street, Suite 111, Wilmington, DE 19801, collects, uses, shares and protects personal information when you visit ps3g.com, contact us, subscribe to our newsletter, or work with us as a client.

1. Scope of this policy

This policy applies to:

  • The website at www.ps3g.com, including downloads, newsletter sign-ups and live chat.
  • Email and other correspondence you exchange with PS3G.
  • Our email newsletter and marketing communications.
  • Information we receive during consulting, software, cloud, data, AI and managed-services engagements with clients.

It does not apply to the software products that PS3G owns and operates. Those products have their own privacy policies, which govern your use of them:

  • DocVilla, our cloud-based EHR, telehealth and practice-management platform, is governed by the DocVilla Privacy Policy and the DocVilla Terms and Conditions. Patients should direct questions about their medical records to their healthcare provider, not to PS3G.
  • EasyLearning4Kids, our children’s learning app, is covered by section 11A of this policy.

Where both appear to apply, the product policy controls for anything you do inside that product.

2. Information we collect

We collect information in three ways: you give it to us, our systems record it automatically, and clients provide it to us during an engagement.

2.1 Information you give us

  • Email and calls. Anything you include in correspondence or tell us on a call, including meeting notes.
  • Newsletter. Email address and, if you choose to provide it, your name and company. Newsletter sign-ups are managed through Mailchimp.
  • Live chat. Messages you send through the chat widget on the site, which is provided by Crisp, together with your name and email if you supply them.
  • Downloads. Name, email and company when you request a white paper, checklist or other gated document.
  • Job applications. The résumé and details you submit when applying for a position.

2.2 Information collected automatically

  • Analytics. We use Ahrefs Web Analytics, a cookieless analytics service, and may also use Google Analytics, implemented through the MonsterInsights plugin, to understand which pages are visited, how visitors arrive and how long they stay. This includes approximate location, device and browser type, referring page and pages viewed.
  • Server logs. Our hosting provider records standard logs, including IP address, time, requested URL and user agent, which we use for security and troubleshooting.
  • Cookies and similar technologies. Described in section 5.

2.3 Information clients provide during engagements

When an organization hires PS3G, it may give us access to systems, documents and data that we need to do the work. Depending on the project this can include employee and customer records, application data, source code and credentials. Where a healthcare client asks us to work on systems that hold protected health information (PHI), we handle that information only under a signed Business Associate Agreement (BAA) and the HIPAA Privacy and Security Rules, as described in section 12.

3. How we use information

We use the information described above to:

  • Respond to enquiries, schedule calls and prepare proposals.
  • Deliver the services a client has contracted for and manage the client relationship, including invoicing and support.
  • Send the newsletter and occasional updates about PS3G services, events and content to people who have subscribed or who have an existing business relationship with us. Every marketing email includes an unsubscribe link.
  • Operate, secure and improve the website, including measuring which content is useful and diagnosing errors.
  • Comply with legal obligations, enforce our agreements and protect the rights and safety of PS3G, our clients and others.
  • Evaluate job applications.

4. Legal bases for processing (EU, EEA and UK visitors)

If you are in the European Union, European Economic Area or United Kingdom, the General Data Protection Regulation (GDPR) and UK GDPR require us to have a legal basis for each use of your personal data. We rely on:

  • Contract: to respond to a request you make, prepare a proposal or perform an agreement with you or your organization.
  • Legitimate interests: to run and secure the website, understand how it is used, communicate with business contacts, and market our services to organizations, in each case balanced against your rights.
  • Consent: for the newsletter, for non-essential cookies, and for any other use where we ask your permission. You can withdraw consent at any time without affecting processing that took place before withdrawal.
  • Legal obligation: where we must keep records or respond to lawful requests.

5. Cookies and tracking technologies

Cookies are small text files placed on your device by a website; we also use similar technologies such as pixels. The cookies on ps3g.com fall into these categories:

Category Purpose Examples
Strictly necessary Make the site work: security, load balancing, remembering your cookie choices and form submissions. WordPress session cookies, cookie-consent preference
Analytics Measure traffic and usage so we can improve content. Google Analytics (_ga, _gid) via MonsterInsights, if enabled. Ahrefs Web Analytics sets no cookies.
Functional Enable features such as live chat and embedded video. Crisp chat, YouTube embeds
Marketing Measure the effectiveness of our campaigns and, where enabled, show relevant content on other sites. Google Ads, LinkedIn Insight Tag (only if enabled)

Managing cookies. Visitors in regions that require consent see a cookie banner on their first visit and can accept or decline non-essential cookies; you can change that choice later through the cookie settings link in the footer. You can also block or delete cookies in your browser, although blocking strictly necessary cookies may stop parts of the site from working. You can opt out of Google Analytics across all websites with the Google Analytics opt-out browser add-on.

6. How we share information

We do not sell personal information, and we do not share it with third parties for their own marketing. We share information only as described here:

  • Service providers that process data on our behalf under contract, limited to what they need to perform their service. By category these are: website hosting and content delivery; email and productivity tools; newsletter delivery (Mailchimp); live chat (Crisp); web analytics (Ahrefs Web Analytics, Google Analytics); customer-relationship and scheduling tools; cloud infrastructure providers (principally Google Cloud, and AWS where a project requires it); payment and invoicing; and professional advisers such as accountants and lawyers.
  • Subcontractors and delivery partners. Some engagements are delivered partly through our India delivery center or through vetted subcontractors. They work under written agreements that include confidentiality and data-protection obligations consistent with this policy and with the client contract.
  • Legal requirements. When required by law, subpoena, court order or government request, or when we believe disclosure is necessary to protect the rights, property or safety of PS3G, our clients or the public, or to investigate fraud or security incidents.
  • Business transfers. If PS3G or one of its products or business lines is involved in a merger, acquisition, financing, reorganization or sale of assets, personal information may be transferred as part of that transaction, subject to this policy or a successor policy that provides comparable protection.
  • With your direction or consent, for example when you ask us to introduce you to a partner.

7. Data retention

We keep personal information only as long as needed for the purposes in this policy, then delete or anonymize it. As a guide:

  • Contact-form submissions and enquiry emails: up to 3 years after the last contact.
  • Newsletter subscriptions: until you unsubscribe, after which we keep a suppression record so that we do not email you again.
  • Live-chat transcripts: 12 months.
  • Analytics data: 14 months in Google Analytics, after which it is aggregated.
  • Server logs: typically 90 days.
  • Client engagement records: for the engagement plus the period required by the contract, tax and accounting law, generally 7 years. Client data is returned or deleted at the end of an engagement as the contract requires.
  • Job applications: 12 months unless you ask us to delete them sooner.

8. Security

We use administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold. These include TLS encryption in transit, access controls and multi-factor authentication, least-privilege access to client environments, staff confidentiality agreements, secure development practices and incident-response procedures. For engagements involving PHI or other regulated data, we follow the additional controls set out in the applicable BAA or data-protection agreement.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If you believe your interaction with PS3G has been compromised, contact us immediately at hello@ps3g.com.

9. International data transfers

PS3G is based in the United States and processes most information there. Some engineering and support work is performed by our delivery center in India and by subcontractors in other countries. If you are outside the United States, your information will be transferred to and processed in the United States and, where an engagement requires it, India.

For transfers of personal data from the EU, EEA, UK or Switzerland, we rely on the European Commission’s Standard Contractual Clauses (and the UK International Data Transfer Addendum, where applicable) together with supplementary measures, or on another lawful transfer mechanism. Transfers to our India delivery center and to subcontractors are covered by written agreements that impose data-protection, confidentiality and security obligations.

10. Your privacy rights

10.1 California residents (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act as amended by the California Privacy Rights Act (together, the “CCPA”) gives you rights over your personal information. In the preceding 12 months we have collected the following categories of personal information, for the purposes and with the sharing described in sections 3 and 6:

Category Examples Source Disclosed to
Identifiers Name, email, company, IP address You; automatic collection Service providers
Commercial information Services requested, proposals, contracts, invoices You; your organization Service providers; professional advisers
Internet or network activity Pages viewed, referrer, device and browser data Automatic collection Analytics providers
Geolocation (approximate) City or region derived from IP address Automatic collection Analytics providers
Professional or employment information Job title, employer, résumé details You Service providers
Inferences Interest in a service based on pages viewed or content downloaded Derived Not disclosed

We do not collect sensitive personal information as defined by the CCPA through the website, and we do not use or disclose personal information for purposes other than those listed in this policy.

Do Not Sell or Share. PS3G does not sell personal information and does not share it for cross-context behavioral advertising. If we ever change that practice we will update this policy and provide a “Do Not Sell or Share My Personal Information” link before doing so. Because analytics and marketing cookies can be treated as “sharing” under California law in some configurations, you can decline them through the cookie banner, your browser settings, or a Global Privacy Control signal, which we honor where our systems can detect it.

You have the right to: know what personal information we collect, use and disclose; access a copy of it; correct inaccurate information; delete it, subject to legal exceptions; opt out of sale or sharing; limit the use of sensitive personal information; and not be discriminated against for exercising any of these rights. We will not deny services, charge different prices or provide a different level of quality because you exercised a privacy right.

10.2 EU, EEA and UK residents (GDPR)

You have the right to access your personal data; to have it corrected or erased; to restrict or object to processing, including direct marketing; to data portability; to withdraw consent at any time; and to lodge a complaint with your national supervisory authority (in the UK, the Information Commissioner’s Office). Where we process your data on the basis of legitimate interests, you may object and we will stop unless we have compelling grounds to continue.

10.3 Other jurisdictions

Residents of other U.S. states with comprehensive privacy laws may have similar rights. We extend the rights in this section to everyone, wherever you live, to the extent our systems allow.

10.4 How to exercise your rights

Send your request to hello@ps3g.com with the subject line “Privacy request”, or write to PS3G Inc., Attn: Privacy, 1201 N Market Street, Suite 111, Wilmington, DE 19801. You may also use an authorized agent; we will ask the agent for written proof of authority and may confirm the request with you directly.

Verification. We will verify your identity before acting, usually by matching the email address you write from with our records and, for access or deletion requests, asking for one or two further details. We will respond within 45 days under the CCPA (extendable once with notice) and within one month under the GDPR (extendable for complex requests). Requests are free unless manifestly unfounded or excessive. If we decline a request we will tell you why and how to appeal.

Engagement data. If your personal information was provided to us by a client organization, we act as that client’s service provider or processor. We will refer your request to the client and help them respond.

11. Children’s privacy

The ps3g.com website and our services are directed at businesses and professionals. They are not intended for children under 13 (or under 16 where local law sets a higher age), and we do not knowingly collect personal information from children through the website. If you believe a child has provided us with personal information, email us and we will delete it.

Our children’s app, EasyLearning4Kids, is covered separately in section 11A below.

11A. EasyLearning4Kids app privacy

This section is the privacy policy for EasyLearning4Kids, the learning app for young children published by PS3G Inc. on the Apple App Store and Google Play (the “App”).

  • We collect no personal information. The App does not ask for, collect, store or share personal information from children or parents. It has no sign-up or accounts, no chat, no advertising, and no analytics or tracking, and it does not access location, contacts, the camera or the microphone.
  • Everything stays on the device. The App’s pictures and sounds are stored on the device and work offline. Any settings stay on the device and are removed when the App is deleted.
  • Internet use. An internet connection is used only to download the App and its updates through the app store.
  • Purchases. The one-time unlock is processed by Apple or Google through the parent’s store account. PS3G does not receive your name, email address or payment details.
  • App stores. Apple and Google handle downloads, purchases and updates under their own privacy policies. They may share anonymous, aggregated statistics with us, such as download counts, and crash reports where you have chosen to share them. These do not identify you or your child.
  • Children’s privacy (COPPA). Because the App collects no personal information from children, there is nothing for us to store, share or delete. If we ever change the App in a way that would collect personal information, we will update this section first and obtain verifiable parental consent where the law requires it.
  • Questions from parents. Email hello@ps3g.com.

12. Client data and confidentiality in engagements

When PS3G delivers services to a client, the client owns and controls the data in its systems. PS3G acts as a service provider (under the CCPA) or processor (under the GDPR) and uses client data only on the client’s documented instructions and for the purposes of the engagement. The master services agreement, statement of work, non-disclosure agreement, data-processing agreement or similar signed contract governs how we handle that data, including confidentiality, security requirements, subcontractor approval, breach notification and return or deletion at the end of the project. Where that contract and this policy differ, the contract controls.

HIPAA. When a client that is a covered entity or business associate under HIPAA engages us to work with systems that contain protected health information, we sign a Business Associate Agreement before we receive access. Under the BAA we use and disclose PHI only as permitted by the agreement and the law, apply the HIPAA Security Rule safeguards, flow the same obligations down to any subcontractor that touches PHI, report security incidents and breaches as the BAA requires, and return or destroy PHI when the engagement ends. We do not use PHI for marketing, product development or any purpose unrelated to the client’s work.

Our DocVilla product has its own HIPAA program and BAA with each practice that uses it; those are described in the DocVilla Privacy Policy.

13. Do Not Track signals

Some browsers send a “Do Not Track” signal. Because there is no industry standard for responding to it, the website does not change its behavior when it receives one. We do honor Global Privacy Control signals (section 10.1), and you can control cookies through the banner and your browser.

14. Third-party websites and services

The website links to other sites, including DocVilla, app stores, social networks and sources cited in articles, and may embed content such as YouTube videos. Those third parties have their own privacy practices, for which we are not responsible. Please read the privacy policy of any site you visit from ours.

15. Changes to this policy

We may update this policy as our services, technology or the law change. When we do, we will post the revised version on this page and update the effective date at the top. If a change materially reduces your rights, we will give more prominent notice before it takes effect. Your continued use of the website after a change means you accept the updated policy.
